Who we are

Tim Way Poultry is run by Bryony Walters, a sole trader, at Dummer Down Farm, Dummer, Basingstoke, RG25 2AR. We decide how your information is used, which makes us the "controller" under UK data protection law.

If you have a question, or want to use any of your rights, email [email protected] or call 07771 393826.

Our website is built and run for us by Underdown Labs Limited, trading as UF Labs. They handle your information only on our instructions, under a written data processing agreement.

What we collect

When you order from us, we collect:

  • your first name, last name and email address, and your phone number if we ask for it at checkout
  • what you order (bird, weight band, quantity), the price, your order number and the collection date
  • anything you write in the order notes box, for example a delivery address if we have agreed to deliver to you
  • confirmation from Stripe that you have paid. We never see or store your card number.

While you check out, we keep a scrambled code made from your internet (IP) address, so we can spot and stop misuse of the checkout. It is deleted once your order is paid or cancelled, or soon after an unfinished checkout expires.

If you say yes to analytics cookies, Google Analytics records which pages you visit, what device you use and roughly where you are. If you say no, it collects nothing.

Please don't put health or medical details in the order notes. We don't need them.

Why we use it, and our lawful basis

  • To take your order, get it ready, hand it over and email you about it. Basis: to carry out our contract with you.
  • To deliver to you, when we have agreed to. We deliver ourselves, so your address is not passed to a courier. Basis: contract.
  • To keep sales records for tax. Basis: legal obligation.
  • To protect the checkout from fraud and misuse. Basis: our legitimate interest in keeping orders safe.
  • To understand how people use our site. Basis: your consent, which you can withdraw at any time.

We don't send marketing emails, and we never sell your information.

Paying us

Card payments go through Stripe on our own Stripe account. Stripe is also responsible in its own right for some uses of your data, such as fraud prevention and its legal duties. You can read more at stripe.com/gb/privacy.

Who helps us

  • UF Labs (Underdown Labs Limited), UK, builds and runs our website and the page we use to see orders.
  • Hetzner, Germany, hosts the website.
  • Supabase, Ireland, stores your order.
  • Stripe takes card payments.
  • Brevo, EU, sends your order confirmation and our new-order alerts. These emails come from [email protected], and if you reply, your message comes straight to us.
  • Google (Gmail) is our own email, where order alerts and your emails arrive.
  • Cloudflare runs our web address and helps keep the site fast and secure.
  • Google Analytics runs only if you say yes to analytics.

Some of these, such as Stripe, Cloudflare and Google, may handle data in the United States under the UK-US Data Bridge or other approved safeguards. UF Labs keeps a full list of the providers it uses at uflabs.co.uk/legal/providers.

How long we keep it

  • Orders, including order notes and delivery addresses, are kept for about 6 years after the end of the tax year the order falls in, because tax rules require us to keep sales records. After that we delete them.
  • The checkout protection code is deleted once your order is paid or cancelled, or soon after an unfinished checkout expires.
  • Google Analytics data is kept for 2 months.
  • Your cookie choice stays in your browser until you clear it or change it.

Cookies

We use a few essential cookies and similar browser storage to keep your basket, keep the site secure and let our staff sign in. These don't need your consent.

Analytics cookies are optional and are only set if you choose "Accept analytics". You can change your mind at any time with "Cookie preferences" at the bottom of every page.

Your rights

You can ask us for a copy of your information. You can also ask us to correct it, delete it, limit how we use it, or send it to you or to someone else. You can object to how we use it, and where we rely on your consent you can withdraw it at any time. We reply within one month, and it's free.

If you're unhappy, please talk to us first. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
